What should a hospital software quote include?
Ask every vendor to fill the same eight lines, in writing: one-time licence or setup, implementation and training, data migration, any server you must keep on site, other hardware you must buy, the monthly subscription for all your users and branches, yearly AMC or support, and how much the price may rise each year. A blank line is a question, not a zero.
Two things decide most comparisons. A low one-time price with a high AMC overtakes a higher setup fee within a few years. And a per-user, per-bed or per-branch price is only comparable once you have multiplied it out for your own hospital — which is why the calculator asks for the monthly total, not the rate.
Are there costs this calculator leaves out?
Yes: your staff's time during the switch, internet and power backup, and anything a vendor charges extra for — new modules, extra branches, integrations, SMS. Ask about each before signing; they are the usual surprises in the second year.
